Privacy Policy
Effective date: July 8, 2026
This policy covers the Recordify Android app, the Recordify web app at app.recordify.com, and the Recordify service both connect to. In this policy, "Recordify", "we", and "us" mean the operator of the Recordify service. You can reach us any time at support@recordify.com.
The short version
- Recordify works on your device by default. You can record, play back, organize, and delete recordings with no account at all. On the Free plan you can keep up to a set number of saved recordings (shown in the app; a paid plan removes the cap) — nothing you have already saved is ever deleted by the app because of a plan limit.
- An account is optional. If you create one, we collect your email address, a password (stored only in protected, hashed form), and an optional display name.
- Cloud backup is doubly opt-in. Nothing is uploaded unless you are signed in and you turn the Cloud backup switch on.
- Transcription is optional. When you request it, your audio is processed by a third-party speech-to-text service to produce text. Each plan includes a limited monthly transcription allowance; the current allowance is shown in the app.
- No ads. No third-party analytics or tracking SDKs. No location collection. We do not sell or rent your personal information.
- You can delete your account (with a 7-day cancelable grace period) and export a full copy of your data, free, at any time — in the app or through your account on the web.
Local-first by default
Recordify is a voice-capture app. It starts recording when you open it, stops and saves on a natural gesture, lets you play back and organize what you captured, and can optionally turn speech into text.
By default, everything happens on your device. Your recordings, transcripts, titles, folders, notes, favorites, and reminders are stored in the app's local storage on your phone. If you never sign in and never turn on a backup or transcription feature, your recordings do not leave your device except when you explicitly share or export them (for example, through your phone's Share sheet or the app's manual backup export).
Because locally stored data lives only on your device, it is subject to your device's own storage, security, and backup behavior. If you uninstall the app, reset your device, or lose your device without a backup, locally stored recordings may be lost. Please keep your own backups of anything important. We do not promise that any data will be preserved forever.
Optional features that send data off your device
Each feature below is off until you choose to use it.
1. Your Recordify account (optional)
You do not need an account to use Recordify. If you choose to create one, we collect:
- Email address — used to identify your account, verify it, and send you essential account emails (verification and password reset).
- Password — stored only in a protected, one-way hashed form on our servers. We cannot see your password, and it is never written to our logs.
- Display name (optional) — a name you can choose to show in the app.
- Consent records — when you create an account, we record which versions of the Terms of Use, this Privacy Policy, and the recording-consent notice you accepted, and when.
- Account activity needed to run the service — such as your plan, your monthly transcription usage and cloud-storage usage (tracked so we can apply your plan's limits), and your registered devices (see "Device information" below).
You must verify your email address before cloud backup will upload anything.
2. Cloud backup (optional, off by default)
Cloud backup runs only when both of these are true: you are signed in to a Recordify account, and you have turned the Cloud backup toggle on. If either is not true, your recordings are not uploaded to Recordify.
When cloud backup is on, the app uploads your audio recordings and their details (metadata): duration, file size, file type, the date and time recorded, any text note attached, favorite flag, folder assignment, language preference, and an integrity checksum used to verify the upload arrived intact.
Where this data lives. Backed-up audio is stored in private cloud object storage located in the United States. Our servers and database run on a major cloud computing platform, also in the United States. Files are transferred over encrypted (HTTPS) connections using short-lived, private access links; the storage is not publicly accessible. Where the law of your region requires safeguards for transfers to the United States, we rely on appropriate safeguards with our service providers.
If your subscription lapses, we do not automatically delete cloud data you already backed up. New uploads simply pause until your account is back under its plan's limits.
3. Transcription (optional, per recording)
When you ask Recordify to transcribe a recording (or have automatic transcription enabled for your backed-up recordings), the audio for that recording is processed by a third-party speech-to-text service working on our behalf to produce the text.
- What the service receives: the audio itself and a language hint — nothing else. We do not send your name, email address, account ID, or file name with it.
- What we store: the resulting transcript text (including a cleaned-up copy) is stored with your account alongside the recording so it can be shown, searched, and included in your data export.
- Accuracy: transcripts are produced by automated speech recognition and may contain errors. The original audio remains available to you.
Each plan includes a set number of transcription minutes per month; the current allowance is shown in the app. If you reach your monthly allowance, transcription pauses until the allowance resets at the start of the next month (UTC) — your recordings still save normally. Recording on your device is never limited by transcription. We track how many transcription minutes your account uses so we can apply your plan's allowance.
4. Personal cloud backup you configure yourself (optional)
Separately from Recordify's own cloud backup, the app can back up recordings directly to a personal third-party storage account that you own and connect yourself in Settings. Your credentials for that service are stored only on your device — Recordify's servers never see them — and your audio goes directly from your device to your own account under that service's own terms and privacy policy.
5. Emails we send (and support email)
We send essential account emails — email verification and password reset — through a third-party transactional email delivery provider working on our behalf. That provider receives your email address and the content of those messages in order to deliver them. We do not send marketing email.
If you email us at support@recordify.com, we receive what you choose to send and use it to respond to you and improve the app. Please do not send sensitive information you do not want to share.
Device information and identifiers
When you sign in on a device, the app registers that device with your account using an app-generated installation identifier — a random ID the app creates itself. It is not your advertising ID, not your Android ID, and not a hardware identifier (no IMEI, serial number, or MAC address). Along with it, the app registers the platform, and may include the device model, operating system version, and app version.
We use this for exactly one purpose: account security and enforcing your plan's device limit (shown in the app). We do not use it for advertising or cross-app tracking — the app contains no advertising. If you never sign in, no device registration happens.
Server logs and security data
When your app or browser talks to our servers (sign-in, backup, transcription, the web app), our servers record standard technical request information, including your IP address, the endpoint requested, timestamps, and results. We also keep an internal audit log of security-relevant account events.
We use this information only for security, abuse prevention, rate limiting, fraud and account-protection investigation, quota enforcement, and troubleshooting. We do not use IP addresses to build location profiles, and we do not derive or store geolocation from them. These logs are retained for a limited period and then deleted or overwritten in the ordinary course.
What we do NOT collect or do
- No ads and no ad networks. The app shows no advertising and contains no advertising SDK or advertising identifier.
- No third-party analytics, crash-reporting, or tracking SDKs. The app ships with none.
- No location collection. The app requests no location permission, and we do not derive geolocation from IP addresses.
- No access to your contacts, calendar, messages, photos, or browsing history.
- We do not sell or rent your personal information, and we do not share it with third parties for their own advertising or marketing. Transfers to the service providers described in this policy are processing on our behalf, under our instructions.
Data that stays only on your device
Even when you use an account and cloud backup, some data never leaves your device: reminders (delivered as local device notifications), app and interface settings, edits you make to transcripts in the app, and credentials for any personal cloud-storage account you connect.
Payments
No payments are collected in the current version of Recordify. The app describes a paid plan, but no charge occurs and no payment information is collected today. When paid subscriptions activate, payments will be handled by the app store you installed Recordify from, using its billing system and under its own terms and privacy policy. Recordify will never receive or store your full payment-card details; we would receive only what we need to confirm your subscription status. This policy will be updated before any billing is switched on.
How long we keep your information
- Local data on your device: under your control. It stays until you delete it or uninstall the app.
- Trash: recordings you delete in the app move to Trash, where you can restore them. Trash items are automatically and permanently removed after 30 days.
- Account data, cloud recordings, metadata, and transcripts: kept while your account is active, so the service can work.
- Account deletion — 7-day grace period: when you delete your account, deletion takes effect after a 7-day grace period, during which you can cancel it. After the grace period, your account record, cloud recordings, transcripts, and associated metadata are purged. Limited residual copies may persist briefly in time-limited system backups before being overwritten, or where retention is required by law.
- Data exports: export files you request are made available to you for a limited time and are then deleted from our systems.
- Server and security logs: retained for a limited period for the security purposes described above.
- Support emails: kept as long as needed to handle your request and for our records.
Your choices and your rights
- Use Recordify without an account. All recording features work signed out.
- Turn cloud backup on or off at any time in the app.
- Delete individual recordings, notes, and transcripts in the app (including Trash with restore).
- Delete your account — in the app (with password re-confirmation) or on the web at app.recordify.com/settings/delete-account. Deletion takes effect after the 7-day grace period described above and is cancelable during that window.
- Export your data — you can request a free, full export of your account data (including your recordings and transcripts) as a downloadable archive.
- Correct your information — change your display name and settings in the app, and reset your password at any time.
Depending on where you live, you may also have legal rights over your personal information — such as rights to access, correct, delete, export, or object to or restrict certain processing — under laws such as the EU/UK GDPR or the California Consumer Privacy Act. The controls above are how we honor most requests directly. You can also contact us at support@recordify.com with any privacy request and we will respond as required by the law that applies to you.
Security
We protect data in transit and at rest using measures that include: encryption in transit (all traffic between the app or web app and our servers uses HTTPS/TLS, and the Android release build refuses unencrypted connections); password protection (passwords are stored only as strong one-way hashes and are never written to logs); and private storage (backed-up audio lives in private cloud storage that is not publicly accessible and is reached only through short-lived, signed links).
No method of storage or transmission is perfectly secure, and we cannot guarantee absolute security. If you believe you have found a security or privacy issue in Recordify, please report it to support@recordify.com.
Children
Recordify is intended for a general audience and is not directed to children. It is not intended for children under 13 (or the higher minimum age that applies in some regions). If you are below the applicable age where you live, please do not use Recordify or create an account. If you believe a child has provided us personal information, contact us at support@recordify.com so we can delete it.
Recording other people is your responsibility
You are responsible for how you use Recordify, including complying with recording-consent and wiretapping laws wherever you record. These laws vary: some places require only one party to a conversation to consent; others require all parties to consent. Recordify does not provide legal advice and is not responsible for how you record others. If you are unsure whether you may record a particular conversation, get your own legal guidance before recording.
Service providers
We use a small number of service providers that process data on our behalf, under our instructions, to run Recordify:
- A cloud computing and database provider that runs our servers and database (account data, recording metadata, transcripts, logs — United States).
- A cloud object-storage provider that stores backed-up audio files and export archives (United States).
- A third-party speech-to-text service that transcribes audio when you request it (receives audio and a language hint only).
- A transactional email delivery provider that sends verification and password-reset emails (receives your email address and message content).
- App-store billing (when subscriptions activate) — payment details are processed by the app store and never received by Recordify.
A personal cloud-storage account you connect yourself is your own account, not a Recordify service provider.
Changes to this policy
We may update this policy as Recordify changes — for example, if we add features that handle data differently, or when paid subscriptions activate. When we make a meaningful change, we will update the effective date above and, where appropriate, notify you in the app or on our website.
